# Connect Gmail

Connect a Gmail or Google Workspace inbox so Gennai finds the invoices and receipts you receive, including the ones written in the email itself.

Once your inbox is connected, Gennai checks it for new invoices on its own. Each invoice it finds appears on your Invoices page with the supplier, the dates, the amounts and every line of the invoice.

## Connect your inbox

1. In Gennai, open `Inboxes`.
2. Click `Connect inbox` and choose `Gmail`. If you have no inboxes yet, click the `Gmail` card.
3. Choose the Google account that receives your supplier invoices.
4. Google shows what Gennai is asking for. Review it and confirm.
5. You are back in Gennai and see the message "Gmail connected". The inbox now appears in `Inboxes`.

From then on, Gennai checks the inbox for new invoices automatically. You don't need to keep Gennai open.

> Gennai starts with recent emails. To bring in older invoices, follow the steps below.

## Bring in invoices you already received

1. Open `Invoices`.
2. Click `Find past invoices`. If you ran a scan recently, the button says `Scan another period`.
3. Choose a period and the inboxes to read, then click `Continue`.
4. Check the summary and click `Start scan`.

Each invoice found uses one credit, like any other invoice. Invoices you already have in Gennai are skipped and don't use credits. See [Find past invoices](/help/capture/find-past-invoices) and [How credits work](/help/billing/how-credits-work).

## What Gennai reads

- Invoices, receipts and credit notes attached to your emails as PDF files.
- Invoices written in the body of the email.
- Only the emails you receive. Emails you send are not read.

Password-protected PDFs and attachments larger than 30 MB can't be read.

## What Gennai can and can't do

**Gennai can:**

- Read your emails to find invoices.
- Keep a copy of each invoice in your Gennai account.

**Gennai can't:**

- Send, delete, move or label your emails.
- Change anything in your mailbox.

Access to Gmail is read-only and the connection is stored encrypted. Google's screen also lists access to Google Drive: with it, Gennai can only see the files it creates there, never the rest of your Drive.

If you disconnect the inbox, Gennai's access to it is removed. The invoices already in Gennai stay where they are.

## Inboxes per plan

| Plan | Inboxes |
| --- | --- |
| Free | 2 |
| Starter | 5 |
| Growth | 15 |
| Business | 50 |

Gmail, Outlook and IMAP inboxes all count towards the same limit. When you reach it, the `Connect inbox` button is greyed out.

## Troubleshooting

### Google says my organisation blocks the app

Your Google Workspace admin controls which apps can use company accounts. Ask them to allow Gennai, then connect the inbox again.

### The inbox says "Needs reconnection"

Google stopped Gennai's access, for example after a password change. Open `Inboxes` and click `Reconnect` next to the inbox. Your invoices stay where they are.

### An invoice I expected is missing

Check that the email arrived in the connected inbox. If it arrived before you connected the inbox, use `Find past invoices` as shown above. For other causes, see [An invoice is missing](/help/troubleshooting/missing-invoice).
