Which plan is right for me?
Pick your plan by how many supplier invoices you receive each month. Starter, at $12 a month, covers 75 invoices and 5 connected inboxes and suits freelancers and one person businesses. Growth, at $29 a month, covers 250 invoices and 15 inboxes and adds automatic export to Xero and QuickBooks Online. It is where most small finance teams land. Business, at $79 a month, covers 750 invoices and 50 inboxes and is built for agencies, bookkeepers and accounting firms running several companies, with personalized onboarding and priority support. Every plan, Free included, uses the same AI invoice capture and extraction and exports to Xero, QuickBooks Online, Holded and CSV: what changes is volume, inboxes, automation and support.
Can I start with the free plan?
Yes. The Free plan is free forever, with no credit card and no trial countdown: 10 invoices a month and 2 connected inboxes, which can be Gmail, Outlook or any IMAP mailbox. It is a working account and not a demo, so you get the same automatic inbox scanning, the same AI extraction and the same exports to Xero, QuickBooks Online, Holded and CSV as the paid plans, only with a smaller monthly allowance. Everything you capture on Free stays in your account when you upgrade, and the allowance resets every month on the day you signed up.
What happens if I reach my monthly invoice limit?
Capture pauses and nothing is lost. Gennai emails the account owner when you run out of credits and stops processing new documents until you top up, upgrade or the cycle renews. Invoices that arrive while you are at the limit stay in your mailbox and are picked up on the next scan, so you never have to forward them again by hand. To carry on straight away you can buy a credit pack, from $5 for 20 invoices, or upgrade your plan, which applies immediately. Credits are only spent on invoices Gennai actually keeps: duplicates, order confirmations, payment receipts and anything that turns out not to be an invoice never count against your allowance.
Can I buy extra invoice credits?
Yes, on every plan, Free included. Credit packs are one off payments: 20 invoices for $5, 50 for $10, 150 for $25, 300 for $39 and 500 for $59, which works out at $0.12 per invoice on the largest pack. Extra credits never expire and they carry over month after month. Your monthly plan allowance is always used first and a pack is only touched once that allowance is gone, so credits are a top up for a busy month or a one off backlog, not a replacement for a plan. The largest single pack is 500 credits and you can buy as many packs as you need.
Can I change or cancel my plan at any time?
Yes. There is no contract, no minimum term and no cancellation fee. An upgrade applies immediately: you are charged only the difference for the days left in the cycle and the larger allowance is available straight away. A downgrade applies at the end of the period you have already paid for, so you keep the plan you bought until it runs out. Moving from yearly to monthly billing is the one exception: it applies straight away, a new cycle starts that day, and the time left on the yearly plan is not refunded. Gennai spells that out on screen and asks you to confirm before anything is charged. To cancel, the organization owner opens the billing portal from Settings, under Payment method and receipts: that is the Stripe customer portal, where you can also update your card and download past receipts. A cancelled subscription stays active until the end of the paid period, and the account then returns to the Free plan with every invoice you have captured still in it.
Is there a discount for paying yearly?
Yes, up to 25%. Billed yearly, Starter works out at $9 a month ($108 a year), Growth at $24 a month ($288 a year) and Business at $66 a month ($792 a year). A yearly plan also unlocks the entire annual allowance the day you buy it, 900 invoices on Starter, 3,000 on Growth and 9,000 on Business, so a busy month or a retroactive scan of past years can draw on the full amount instead of hitting a monthly ceiling. Yearly subscriptions renew every twelve months.
Does Gennai do bank reconciliation?
Yes. Gennai reconciles your bank movements against the invoices it has already captured: export your bank statement as CSV or XLSX, upload it, and every line is matched against your invoices, so you can see what has really been paid, what is still outstanding and which charges have no invoice behind them, without ticking off rows by hand. It all happens inside your Gennai account: there is no bank connection and Gennai never asks for your banking credentials.
What is included in the Custom plan?
Custom is for companies that have outgrown Business. It includes everything in Business plus a monthly invoice volume set to what you really process, flexible limits on connected inboxes and billing terms agreed with us instead of a fixed tier. It is not a self serve plan: you tell us your monthly invoice volume, how many mailboxes you need and how you want to be billed, and we put the numbers together with you. Everything else works exactly as on the published plans, including multi company setups, team and external accountant access, and export to Xero, QuickBooks Online, Holded and CSV.
How many inboxes can I connect on each plan?
Free connects 2 inboxes, Starter 5, Growth 15, Business 50, and Custom as many as you agree with us. An inbox is any mailbox Gennai scans for invoices: Gmail and Google Workspace, Outlook and Microsoft 365, or any IMAP account, and you can mix providers inside the same organization. A shared or accounts payable mailbox counts as one inbox however many people read it, so a small team usually needs far fewer slots than it has employees. Your private forwarding address and manual uploads do not use an inbox slot, and you can disconnect a mailbox at any time to free one up.
Do you offer custom billing for higher invoice volume?
Yes. Above the 750 invoices a month included in Business, pricing is worked out on your real volume instead of a published tier, and the billing is adapted to how your finance team runs. Tell us roughly how many supplier invoices you process each month, how many mailboxes you need to connect and which accounting software you export to, and we come back with a quote. Existing customers can move onto custom billing at any time and keep every invoice, rule and integration already set up in their account.
