Forward invoices to Gennai

Get your own Gennai email address and forward invoices to it from any inbox. Gennai captures the invoices attached as PDF files or photos.

All plansLast verified

Your workspace can have its own Gennai email address. Forward an email with invoices to it from any email account and Gennai captures the invoices attached. You don't need to connect your inbox.

Get your forwarding address

  1. In Gennai, open Integrations.
  2. Find Email Forwarding and click Connect.
  3. Your address appears under Your forwarding address. Click Copy to copy it. If you see Generate my address instead, click it first.

The address ends in @inbox.gennai.io. There is one address per workspace, shared by everyone in it. Once it's active, the button in Integrations says Manage.

Share the address only with the people and suppliers you want invoices from.

Forward an invoice

  1. In your email, open the email with the invoice.
  2. Forward it to your Gennai address.
  3. The invoice appears on your Invoices page, ready to review and export.

You can forward several invoices in a single email. Each PDF or photo becomes its own invoice.

Use the normal Forward option, so the invoice stays attached. Don't use Forward as attachment.

What Gennai captures

  • Invoices, receipts and credit notes attached as PDF files.
  • Photos of invoices and receipts, in JPG, PNG, WebP or HEIC.
  • A PDF that contains several invoices is split into one invoice each when Gennai can tell them apart.

Gennai doesn't capture:

  • Invoices written in the text of the email. To capture those, connect the inbox instead.
  • Other files, such as Word or Excel documents, zip files or attached emails.
  • Small images, such as logos and email signatures.
  • Password-protected PDFs.

Credits

Each invoice captured uses one credit, like any other invoice. Duplicates are skipped and don't use credits. See How credits work.

If your workspace has no credits left, forwarded invoices aren't captured. Forward them again once you have credits.

Give your address a name

On a paid plan, you can use a name instead of the code, for example yourcompany@inbox.gennai.io.

  1. Open Integrations and click Manage on Email Forwarding.
  2. Click Choose name.
  3. Type the name and click Save.

Names can use lowercase letters, numbers and hyphens. Generic names, such as invoices or billing, aren't available.

Your previous address keeps working, so anyone who already uses it doesn't need to change anything. You can change the name a limited number of times, and Gennai shows how many changes you have left. Owners and members can choose the name; accountants can't.

Change or turn off your address

Open Email Forwarding in Integrations and click Manage at the bottom of the window.

  • Regenerate gives you a new code address. Confirm, and the old one stops working at once. If your address has a name, the name keeps working.
  • Disable turns forwarding off: your address stops accepting invoices. To turn it back on, open Email Forwarding and click Re-enable forwarding. You get the same address back.

Troubleshooting

A forwarded invoice didn't appear

  • Check that the invoice was attached as a PDF or a photo. Invoices written in the email aren't captured by forwarding.
  • Forward the email normally, not as an attachment.
  • Check the address. Copy it again from Integrations › Email Forwarding.
  • Check that your workspace has credits left.
  • If the invoice was already in Gennai, it's skipped as a duplicate.
